Getting Quote Acceptance in Writing

A client saying yes on a phone call is quote acceptance. It is also, six weeks later, a matter of two people remembering a conversation differently. Getting it in writing costs nothing and settles almost every dispute before it starts.

What counts as quote acceptance

  • A signed quotation returned to you
  • An email saying approved, go ahead or accepted, quoting the number
  • A purchase order referencing your quotation
  • A WhatsApp message confirming it, kept and backed up
  • A deposit paid against the quote number

That last one is often the strongest in practice, because money moving is unambiguous and the bank record dates it for you.

Making it easy for the client

The easier acceptance is, the more often it happens in writing. Three things help:

  1. Ask for it explicitly. End the quotation with a line: Reply to this email with ‘accepted’ and the quote number to proceed.
  2. Give them one action, not a form to print, sign, scan and return. Printing is where acceptance goes to die.
  3. Confirm what you heard. After a verbal yes, send a short email: Confirming you have accepted QUO-0148 at R6,555.00 including VAT. Scheduling once the deposit reflects. If they do not correct it, you have your record.

When the scope changes later

Every change gets the same treatment. A short message confirming what was agreed, before the work happens. Additional work agreed verbally and never confirmed is the single most common thing a client disputes at invoicing, and it is entirely avoidable.

Common questions

Is a verbal acceptance binding?

It can be. The difficulty is proving what was agreed, which is why written confirmation matters more than the legal question.

Does a WhatsApp message count?

It is a written record. Keep it, and make sure it is backed up somewhere other than the phone.

What if they accept after the quote expires?

There is no offer left to accept. Reissue at current prices, or honour it and say you are doing so.

Send a quote with a clear number, total and validity date, so acceptance is unambiguous.
