Recurring invoices are documents set up once and issued automatically on a schedule. If you bill a client the same amount every month, rebuilding that invoice thirty times a year is work with no purpose.
Where recurring invoices fit
- Retainers. A fixed monthly fee for ongoing work.
- Maintenance agreements. Servicing, support, monitoring.
- Subscriptions and licences billed on a cycle.
- Rentals. Equipment, space, vehicles.
- Scheduled services. Cleaning, security, garden maintenance.
Where they cause problems
Recurring invoices go wrong when the underlying arrangement is not actually fixed. Three situations to avoid:
- Variable work billed as if it were fixed. If the amount changes, you are editing every invoice anyway, and now you are editing an automated one.
- Agreements that ended. An invoice that keeps issuing after a client cancelled is an awkward conversation and, if they paid it, a refund.
- Price increases. A recurring invoice will happily bill last year's rate indefinitely.
