You can send an invoice on WhatsApp perfectly properly, and in South Africa it is entirely normal and there is nothing wrong with it. What matters is that you send a proper PDF rather than a photo, and that you keep the record somewhere other than the phone.

How to send an invoice on WhatsApp properly

  1. Generate a PDF. Not a screenshot, not a photo of a printout. A PDF is legible, it prints, and it can be forwarded to an accounts department without embarrassment.
  2. Send it as a document, not an image. WhatsApp compresses images and a compressed invoice is unreadable at the exact moment someone needs to read it.
  3. Write one line with it. Invoice number, amount and due date. Not just a file with no message.
  4. Follow up by email for corporate clients. Finance departments work from inboxes, not phones.

Does WhatsApp affect validity?

No. A tax invoice is valid because of what it contains, not how it was delivered. A PDF sent on WhatsApp that carries everything section 20 requires is exactly as valid as one sent by email or handed over on paper.

The real risk is not legal, it is record-keeping. SARS expects you to keep records for five years. A chat thread is not a filing system.
